This Privacy Policy explains how The Recruitment Org, LLC, a Delaware limited liability company ("Company", "we", "us"), collects, uses, shares, and protects personal information when you use The Better Woman at thebetterwoman.ai and its related applications and services (the "Service"). For the purposes of applicable data protection law, the Company is the controller of your personal information.
By using the Service you acknowledge this Privacy Policy. Where the law requires consent (for example for certain sensitive data or marketing uses), we will rely on the consent mechanisms described below.
1. Information we collect
- Information you give us. Your name, email address, and account details; the answers you provide in your life assessment and onboarding; your goals, habits, plans, journal entries, and check-ins; and the messages and conversations you have with your AI coaches.
- Health and wellness information. Depending on the features you use, this may include information about your fitness and training, nutrition, sleep, recovery, mood, mindset, menstrual cycle, body metrics, and similar wellbeing data. Some of this is sensitive information (also called special category data). We collect it to provide the Service to you, and where required we rely on your explicit consent.
- Images and results content. Photographs, images, progress or "before and after" records, and any results, reviews, or testimonials you choose to upload or submit.
- Device and wearable data. Where you connect a third-party source (for example Apple Health, Whoop, or Oura), the data you authorise that source to share with us.
- Payment information. Subscription and billing details. Card payments are processed by our third-party payment processor; we do not store full card numbers.
- Usage and technical data. Device, browser, IP address, app interactions, and analytics data, collected through cookies and similar technologies (see Section 8).
2. How we use your information
We use personal information to: create and manage your account; deliver and personalise the Service, including generating your daily plan and coaching; process your inputs through AI systems and third-party AI model providers to produce coaching outputs; process payments and manage subscriptions; communicate with you about the Service; maintain security and prevent misuse; comply with legal obligations; and, as described in Section 3, for marketing and promotion.
3. Marketing, testimonials, and use of your content
We may use content you submit, including reviews, testimonials, results data, images, and photographs (together, "User Content"), to promote the Service. This includes using User Content, in whole or in part, on our websites, in social media, in paid advertising, and in case studies, and we reserve the right to do so in anonymised or de-identified form.
Where the law requires your consent to use identifiable User Content for marketing (for example a recognisable photograph, a body or results image, or a named testimonial), we will obtain your consent before doing so, typically through an in-Service opt-in. You may withdraw consent, or ask us to stop using or to remove specific User Content from future marketing, at any time by contacting support@thebetterwoman.ai. Withdrawal does not affect uses already made or copies already distributed that are outside our reasonable control.
We may also send you marketing communications about the Service. You can opt out of marketing emails at any time using the unsubscribe link or by contacting us; this does not affect essential service communications.
4. How AI processing works
To generate coaching, your inputs (which may include the health and wellness information described above) are processed by automated systems and may be transmitted to third-party AI model providers that process the data on our behalf to return outputs. We take steps intended to limit these providers' use of your data to providing the service to us. AI outputs may be inaccurate and are not professional advice, as explained in the Terms of Use.
5. Legal bases (where GDPR or similar law applies)
We rely on: performance of our contract with you (to provide the Service); your consent (for sensitive data, certain integrations, marketing use of identifiable content, and non-essential cookies); our legitimate interests (to secure, analyse, and improve the Service, and for general marketing, balanced against your rights); and compliance with legal obligations.
6. How we share information
We share personal information with: service providers who act on our behalf (for example hosting, analytics, email, and customer support); our payment processor; third-party AI model providers; third-party sources you connect (for example wearables); advertising and analytics partners as described in Section 8; and authorities or others where required by law, to enforce our Terms, or to protect rights, safety, and security. We may also share information in connection with a merger, acquisition, financing, or sale of assets. We do not sell your personal information for money.
7. International transfers
We are based in the United States and use service providers in various countries. Your information may be transferred to and processed in countries whose data protection laws differ from yours. Where required, we use appropriate safeguards (such as standard contractual clauses) for these transfers.
8. Cookies, analytics, and advertising
We use cookies and similar technologies for functionality, analytics, and advertising. This includes advertising and measurement tools such as the Meta Pixel, which may collect information about your interactions and share it with Meta to measure and target advertising. You can manage non-essential cookies through our cookie controls where offered and through your browser and device settings, and you can adjust ad personalisation with the relevant advertising platforms.
9. Data retention
We keep personal information for as long as your account is active and as needed to provide the Service, and thereafter as needed to comply with legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed we delete or anonymise it.
10. Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information; to object to or restrict certain processing; to withdraw consent; and to opt out of certain uses. To exercise these rights, contact support@thebetterwoman.ai. We will respond as required by applicable law and will not discriminate against you for exercising your rights.
Australia: you may access and correct your personal information and complain to us and, if unsatisfied, to the Office of the Australian Information Commissioner (OAIC).
European Economic Area and United Kingdom: you may lodge a complaint with your local supervisory authority (for the UK, the Information Commissioner's Office).
California and other US states: you may have rights to know, delete, correct, and opt out of certain sharing, and to not be discriminated against for exercising them.
11. Security
We use reasonable technical and organisational measures designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
12. Children
The Service is for adults aged 18 and over. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will take steps to delete it.
13. Third-party links
The Service may link to third-party sites and services that we do not control. This Privacy Policy does not apply to them, and we encourage you to read their policies.
14. Changes to this Policy
We may update this Privacy Policy from time to time. We will post the updated version with a new "Last updated" date and, for material changes, take reasonable steps to notify you.
